Submit Availability Changes for an Employee
When an team member knows what days throughout the week they will be unable to work in the foreseeable future, they can submit an Availability which will allow managers to keep track of these days. Once submitted, it will need to be approved by a manager. The days that an employee will be unavailable will then show on the Scheduler.
Managers are also able to submit these availability changes on behalf of the employee on the staff list. When editing an availability, users can select an entire day or just a time range. For example, if a team member has class from 2:00 pm to 5:00 pm every Monday, the manager can set up their availability to reflect this.
How to update an Employee's Availability
- Go to App Menu > Staff > Staff List
- Click the Employee Name, then on the top toolbar, click Availability / Thresholds
- Click on the (+) Icon > Select your Effective Date and Reason
- Click and drag the correct hours on the Time Block tool.
- Below that, you will also have the option to set other Scheduling Thresholds like:
- Minimum or maximum amount of days scheduled in a week
- Minimum or maximum amount of hours scheduled in a week
- Maximum hours able to be worked in a day
- Hours between scheduled shifts
- Click Save to update the availability of the employee.
Team members should have the ability to submit their weekly availability on their own, but for those who may not have access to a computer or mobile device, having a manager do it on their behalf may be the best course of option. This will also give the manager a chance to better connect with their staff members.
The Threshold fields beneath the Availability calendar are optional to fill in, but provide an additional method of creating the most efficient schedule possible.
