In Harri, we will be updating the Payroll ID of each employee.
- Harri ID = Current Payroll ID
- Paylocity ID = New Payroll ID that we are updating for each employee
To make things to the easiest, you should filter the spreadsheet by "Harri Group" so you don't have to keep searching the spreadsheet I'll follow along with the first example and a step by step.
In this example, I filtered the Harri Group to be JAG Restaurants.
Let's go find these employees in Harri to see if we can update them.
Log into Harri, then on the top navigation bar, click Core HR button
Then you'll see the search bar.
It will be the easiest for you to set your settings up to be like mine.
Where it says ALL - change this to be First Name, Last Name, Payroll ID checked.
Where it says EMPLOYEE STATUS - change this to be Active and Terminated checked.
After setting it up, it should look like this... which will help you find employees by Payroll ID and find employees that have been terminated.
Now, I search for Robert Capstraw.
You can search by either typing in his name, or by typing the Harri ID number on the spreadsheet for him.
For me, I have to try both sometimes to find the person.
By Name
By Harri ID
As you can see, he is TERMINATED. This means we cannot update his Payroll ID in Harri, which is ok.
Make a note in the spreadsheet that they were termed, and don't mark it as done.
For the next person, we search for their name or Harri ID again. I will do Katheryn Carrillo.
I do a search by her Harri ID, and see that she is ACTIVE. There can sometimes be others that pop up, so its important to look at the name to make sure it matches.
This means her Payroll ID needs to be updated. So I click on her record.
Then I click on Payroll & Taxes tab.
Then I click edit.
Then I copy/paste the Paylocity ID into this field. Click Save to update this.
Once you save, mark it as DONE in the spreadsheet and continue on.
We have attempted to only pull ACTIVE employees, but you may find some people that are terminated. If you find they are terminated in Harri, just move to the next one and make a note.
IMPORTANT INFO AND TIPS TO HELP
- If you have trouble finding someone, please attempt to search for both the Harri ID and some part of the name.
- For me, sometimes a name wasn't 100% match or maybe the Harri ID was missing. So you need to try a couple things.
- You can always match Harri ID to the name to make sure you have the right person. When I searched "Luis Ventura", there were 2 people that came up so I had to look at each one to see which one had the correct Harri ID.
- If you find someone that has 2 profiles and one has an M underneath it, that is a manager profile.
- Please only edit the one without the M, which is their personal profile.
- If someone ONLY has 1 profile and its an M, check to see if they have a Harri ID and you can update it if its already in there.
- Please skip anyone that:
- You can't edit their payroll ID. Make a note "cant edit" in the note column
- Does not have a Paylocity ID.
- Is terminated in Harri. Make a note "term" in the note column.
- If you can't update for any other reason, just leave a brief note so we can review and fix.
JAG Support will also be working through some of this due to the timing, so we'll also make sure to mark our work as done.
