If an employee is onboarded via Paylocity
Up to this point, Paylocity onboarding is taking place. If questions come up around how to onboard an employee in Paylocity, please reach out to HR for further guidance on that.
Info needed from Paylocity:
- First Name, Last Name
- Email Address
- Payroll ID from Paylocity
- Jobs & Wages
INFO: If you have onboarded your employee in Harri and sent them to payroll/Toast from there, they should already appear in Toast. You will just need
In Toast Admin Page:
- Side Menu -> Employees -> Click Add New Employee
- Fill out the information, bold red fields are required and need your attention.
- Invite to create account = No
- First Name, Last Name= Please type the name in Toast exactly as listed in Paylocity.
- ***If someone has several last names, please make sure you match the same place they are entered in Paylocity. For example, if you put 1 in the first name, 1 in the last name please do the same in Toast.
- Mobile Phone = use from Paylocity
- Email Address = use from Paylocity
- POS Access Code = Sign in/Clock in number
- Jobs= Add jobs and wages.
- ***If a job does not exist in Toast yet that you need, you will need to reach out to support@joseandres.com for assistance with setting this up. This can take up to 7 business days to configure, so be mindful of your timing.
- Employee ID = Payroll ID from Paylocity.
- ***This needs to be entered EXACTLY as entered in Paylocity. Otherwise the employee will not be paid.
- Click Add at the bottom so the employee is added in Toast.
Once your employee is added in Toast,
- They will appear in HotSchedules1-3 hours later. If they don't appear, you will need to confirm the employee has their payroll ID entered into the Employee ID field in Toast.
- Send the employee their welcome sheet once in HotSchedules to get set up.
- They will appear in TipHauswithin a few minutes.
- You can go to Settings -> Locations -> Employees to find your new hire and invite them to setup their account.
If an employee is onboarded via Harri
If you started by sending your employee to Payroll and to Toast from Harri, this is not a large problem yet. Please note that there will be a delay in their onboarding to Paylocity due to having to be transferred to our new payroll system.
- The employee will already exist in Toast with whatever name and contact info that was added into Harri.
- We will need to update their info to make sure they are assigned the correct jobs and wages, because Harri does not always send correct jobs and never sends the wage into Toast.
