How to Send to Toast (HRIS Project)

Log into Harri.

In the location dropdown, find the location that's needed.



Click My Team on the Dashboard




From the employee roster page, click the dropdown for Category/Positions and search for the job you are looking for.  In this case, I want to find Line Cook.




This gives you a list of all the employees you will need to Send to Toast.

Click the first employee in the list.

Click the Employment Info tab.  You'll notice a POS ID column.  You will encounter 2 different scenarios at this point:

  • There is a GUID (string of characters) already there.  This means, they are already present in Toast so you can move to the next employee.

  • It is blank and has a blue paper airplane.  This means they are not in Toast yet so we need to send them to that system.

A box will pop up showing all the positions they have in Harri.  You may see a yellow triangle next to some positions.  It would be worthwhile to record the positions you encounter that are unmapped for each location just in case we missed anything.  Just make sure the one you searched for does not have that.  


Click Send. 

If a job does have a yellow triangle, you'll receive a prompt about unmapped positions.  Just proceed along.

Afterwards, the POS ID column will be populated.  This means that the employee is now present in our POS system.



Press the back arrow at the top of the team members page to go back to your original list of employees for that position.

Continue to send each employee to Toast who works that position, ignoring employees who are already sent.


Once all employees are sent for that position, mark it as complete in the spreadsheet and move on to the next position.





NOTES + MISC DETAILS

  • Please make sure to get all employees sent for those positions.  Otherwise, they will not appear in our new platforms for scheduling and payroll.
  • When you search for the positions, you may see duplicates of it.  It's probably best to click into each duplicate position to see which one is getting assigned to employees.
  • If you get any errors or interesting messages while sending to Toast, simply take a screenshot of the error and document it along with the location/employee that it happened for.  We'll fix these on a case-by-case basis but there shouldn't be many.
