Timecard Review + Locking the period

Timecard Review + Locking the Pay Period is one of the last steps of your payroll preprocessing.


In Punch Records, you will be tasked with reviewing your timecards.

  • It is highly recommended that this is done on a daily/nightly basis by the management teams. 

***Why?

Because the manager that day/night will have the best understanding of who worked and how long they worked.

Because edits done on the same day will flow into HotSchedules automatically.

Because edits done to previous days will require you to edit timecards in Toast AND HotSchedules.


  • This will show you schedule exceptions that happened (shift variance, early/late variance, pay exceptions).


  • REMINDER:  Timecard review is YOUR APPROVAL of timecard entries.  When you review the timecard, you are APPROVING that it is correct and to be paid as shown.


How does this affect you and your restaurant?

  • Do you have different people responsible for reviewing and making time card edits for your restaurant?

For example, do you have 1 person reviewing & editing timecards for FOH and a different person doing edits for BOH?

  • If so, you should avoid reviewing timecards for positions you are not the "approver" of.
  • Here's how you can do that:



This location hasn't yet adopted our recommendation - that timecards are reviewed nightly and edits are done the same day. If FOH and BOH timecards are approved separately, you can filter them by job.



Select a job that you are in charge of approving.  



When you Mark All Reviewed, you will now notice it will ONLY be for the job selected instead of approving every time card in the pay period.
