FOR CORRECT GUEST COUNTS
We have created a report in Oracle Reporting that can be viewed by your management team. It is recommended to view this same-day so any corrections can be made - we're unable to directly edit checks from previous days.
- Click the top left navigation button -> Reports & Check Search -> Audit & Analysis
- There is a Public Query that I already setup called Guest Count by RVC/OT.
Recommendations: Have a manager view this report to find any issues with Guest Count before the checks are locked overnight. It is arranged to easily identify 2 kinds of mistakes: guest counts for events and checks that have sales but zero guest count.
We can also set this up to be emailed! But to recap, we can only allow checks to be edited day-of so it's important that this is viewed and edits are made before the business day ends.
FOR CORRECT ORDER TYPES
We discussed creating a "Start an Event" tab in the POS. This should help people properly set the order type of an event before getting in the weeds and potentially forgetting. It will look similar to below and a description of the buttons are under the picture.
BEGIN EVENT (LARGE PARTY) - Press this button if you have an EVENT with a Guest Count of over 13 people. It will automatically update the order type to be an EVENT when the check is created.***
BEGIN EVENT (SMALL PARTY) - Same as above, but for EVENTS of 12 and under.***
EDIT # OF GUESTS BEFORE CLOSING CHECK - Allows a server working an event to be mindful of the proper guest count and make any edits for events larger/smaller than originally anticipated.
EVENT OPEN TABS - Different from the normal screen in that it only shows checks with an EVENT order type.
*** = note that if you press BEGIN EVENT (LARGE PARTY) and enter less than 13 guests, you will have to sign out and sign back in to try again. Same goes for the small party and entering more than 12 guests.
